This is a critical role responsible for overseeing the agency’s human resources function, office operations, and key aspects of financial administration. The successful candidate will ensure that internal processes are efficient, policies are upheld, and team members are fully supported to thrive in a high-performance, creative environment.
Key Responsibilities
- Develop, implement, and maintain HR policies, procedures, and frameworks that reflect company values and comply with labour legislation.
- Manage the full employee lifecycle, including recruitment, onboarding, performance management, learning and development, and offboarding.
- Provide HR guidance to leadership and staff, handling employee relations, conflict resolution, and disciplinary matters with professionalism.
- Lead training and development initiatives including performance reviews, career development planning, and upskilling programs.
- Ensure compliance with employment law, health and safety regulations, and internal standards.
- Maintain accurate and confidential employee records, and continuously improve HR systems and tools.
- Oversee daily administrative functions, ensuring smooth and efficient office operations.
- Manage office systems, vendor relationships, and procurement of office supplies and services.
- Coordinate logistics for internal meetings, events, and travel arrangements.
- Respond to administrative inquiries and serve as a point of contact for internal communications.
- Support leadership with scheduling, calendar coordination, and operational planning.
- Track invoices and oversee reconciliation of payments, receipts, and petty cash.
- Liaise with external accountants or internal finance personnel to support payroll processing, statutory payments, and financial reporting.
- Assist with budget preparation, cost control, and monthly financial summaries.
- Maintain timely and accurate administrative and financial records.
Qualifications & Requirements
- Minimum 5 years experience in HR, administration, or operations.
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
- Solid knowledge of local labour laws, HR best practices, and organizational development principles.
- Proven ability to manage confidential information with discretion and integrity.
- Excellent leadership, interpersonal, and conflict resolution skills.
- Proficient in Microsoft Office Suite; experience with HR software and accounting tools (e.g., QuickBooks) is an asset.
- Strong multitasking, organizational, and analytical abilities.
Experience
- Previous experience in a creative, digital, or fast-paced agency environment is a strong asset.
- Familiarity with hybrid work models, remote team management, or digital workflow tools is an advantage.
